Cancellation Policy

As a small specialised business, cancellations hurt us greatly. They often occur at short notice and leave us unable to re-book the spots, which results in a loss of income, not only to our business, but also to the guides we employ. We ask that you carefully read our cancellation policy as we strictly enforce it to protect ourselves and our employees.

Separate cancellation policies exist for our specialty trips including the USA and New Zealand; they can be found below.

We strongly urge you to consider taking out appropriate travel insurance to cover any possible cancellations on our New Zealand, USA (Montana-Idaho) and Argentina (Patagonia) trips, as cancellations could be costly.

GOULBURN VALLEY FLY FISHING CENTRE RESERVATION & CANCELLATION POLICY

Please secure your reservation for fly fishing services or accommodation with a Visa/Master Card. A 50% deposit is taken at the time of booking and your card details will be kept on file until the completion of your trip/visit. Full payment is to be made no later than the day of the trip.

Booking your trip confirms acceptance of our cancellation policy as outlined below.

In the event of your cancellation:

  • We will attempt to rebook the spots by advertising them on our website, via email and through social media.
  • If we are able to rebook the spots there will be no charge and your booking can be moved to another date or you deposit will be refunded in full.
  • If we are unable to rebook the spots, the balance of the trip price will be billed to your credit card
  • No-shows, parties arriving with less guests than booked and last minute cancellations (within 72 hours of the trip), will be charged the full/quoted amount.

Please remember that fishing is an outdoor activity and you must come prepared for the weather. We do not issue rain checks/cancellations for inclement weather conditions. Please bear in mind that bad weather in Melbourne does not necessarily mean the same here. Most cold fronts slip to the south of the Great Diving Range, leaving us with fine weather while at the same time it is raining in Melbourne.

In the end we want you to have fun and we will not insist that you to fish in terrible weather, but many cancellations would be avoided by simply discussing the options with us.

If we determine that the weather is a problem (lightning/flooding/other anomalies), we will offer you an alternative booking day/time or allow you to cancel without penalty.

FLY FISHING WORKSHOPS

Our workshops offer heavily discounted rates and as such we require full payment at the time of booking.

  • If we are able to rebook the spots your booking can be moved to another date.
  • No refunds are given for cancellation of workshop places.

BOOKING AND CANCELLATION POLICY FOR NEW ZEALAND TRIPS

A deposit of AU$1,000 per person is due within 7 days of booking to secure your spot. No bookings are secured without receipt of a deposit. Payments can be made by credit card, cheque, EFT or cash. A valid credit card must also be provided at the time of booking. The trip balance must be paid by December 1, prior to your trip’s departure. Please contact us if you are having problems with this timeline.

All cancellations must be received in writing either via email or letter. Please follow this up with a phone call to ensure that we have received it.

In the event of your cancellation:

1. A $750 refund will be given for cancellations received three calendar months or more before the start date of a trip (paid within 28 days of cancelling).

2. For cancellations falling within three calendar months of the start date of a trip, the following process will occur.

  • We will attempt to rebook the spots by advertising them on our website, via email and through social media. We will do this right up until the day that your trip is scheduled to begin.
  • If we are able to rebook the spot in this way, a $750 refund will be given.
  • If we are unable to rebook the spot the balance of the trip will be charged to your card at the time that balances are due.
  • We strongly urge you to take out an appropriate level of travel insurance for the trip dates before you book with us. That way you will be covered should you be unable to attend and should we be unable to find a replacement for you.

Cancellations for this trip are only refundable if we can find a suitable replacement, which can only happen once the rest of the spots are completely booked.

Payment of a deposit is acknowledgment that the trip participant has read, understood and accepted our Booking and Cancellation Policy outlined above.

CANCELLATION POLICY FOR USA TRIPS e.g. Montana/Idaho

This trip requires a 50% of $2800 USD at the time of booking, with the balance due no later than Feb 1.

Payments are to be made to us in AUD dollars via cc, with the amount being determined by the rate on the day when the booking is made. Credit card payments attract a 1.5% fee to cover the fees associated with such a payment. Payment via EFT attract no such fees.

Cancellations for this trip are only refundable if we can find a suitable replacement, which can only happen once the rest of the spots are completely booked.

All cancellations must be received in writing. either via email or letter. Please follow this up with a phone call to ensure that we have received it.

In the event that you need to cancel the following will occur:

  • We will attempt to rebook the spots by advertising them on our website, via email and through social media.
  • If we are able to rebook the spots, your payment will be refunded less a $250 AUD admin charge.
  • If we are unable to rebook the spots you will forfeit your payment.
  • We strongly urge you to take out appropriate travel insurance for the trip dates before you book with us. That way you will be covered should you be unable to attend and should we be unable to find a replacement for you.

** FOOTNOTE

While we sincerely empathise with people with genuine reasons for cancelling (e.g. death in the family, illness, changing work commitments, car problems), we make no exceptions to our cancellation policy. This is because unlike most other service oriented businesses, we are niche specialists who book jobs on a 1:1 or 1:2 basis, for a half day, full day, or a week or more. Other businesses, say a dentist’s or doctor’s surgery, book 15-25 people a day and a cancellation here and there is easily re-booked and has no overall impact.

For us a cancellation has all sorts of flow-on effects to our staff and to our overall viability, as late cancellations are often unable to be re-booked. On top of this, it also likely means that we have likely lost other clients who sourced alternative services after being told that the day they wanted was unavailable.

We ask you to keep this in mind when considering whether to cancel as we do not deviate from the policy as it is written above. If you do need to cancel, it is best to let us know ASAP and let us get to work on finding a replacement for you, which we will do our very best to do.
